Friendly Reminder: S26 Participant List Deadline Approaching – June 15, 2026
Don’t Forget! RMTS Participant List Certification Due June 15, 2026
This is a friendly reminder that the FFY26 Fourth Quarter (July–September 2026) Random Moment Time Study (RMTS) Participant List (PL) must be reviewed and certified by June 15, 2026.

This deadline applies to all:

Local Education Agencies (LEAs)
Early Childhood Intervention (ECI) Programs
Local Health Departments (LHDs)
Mental Health/Intellectual Disability (MH-IDD) Entities
What RMTS Contacts Need to Do
The designated RMTS Contact is responsible for:

✅ Reviewing the Participant List

✅ Adding new staff positions

✅ Removing staff who are no longer eligible

✅ Updating participant information as needed

✅ Certifying the Participant List before the deadline

Even if no changes are needed, the Participant List must still be certified each quarter by selecting the “Certify” button in the IVA system.

Important IVA System Update
The Participant List from the previous vendor has already been transferred into the current quarter within the IVA system. RMTS Contacts should carefully review the carried-forward information to ensure it remains accurate and complete.

Remember: Access to the Participant List is limited to RMTS Contacts who have completed the required annual HHSC RMTS Contact Training.

Why This Matters
The Participant List serves as the foundation for both:

School Health and Related Services (SHARS)
Medicaid Administrative Claiming (MAC)
A position must be included on the Participant List to be eligible for participation in SHARS Cost Reporting and MAC.

Once the Participant List closes on June 15, 2026, no additional changes can be made for the FFY26 fourth quarter.

Consequences of Missing the Deadline
Failure to update and certify the Participant List by June 15, 2026, will result in:

❗ Ineligibility to participate in the SHARS Program for the entire FFY26 year

❗ Ineligibility to participate in the MAC Program for the July–September 2026 quarter

These consequences can significantly impact Medicaid reimbursement opportunities for your organization.
